Email Automation features and advantages

Workflow Doctor offers two email automation solutions based on the particular requirements of our client. The first is a Windows server-based email automation package and the other is a real-time processing solution that replaces your current mailbox entirely.


Server Based Automation

Our server-based automation platform is for the management of incoming emails and their attachments and provides the following:

Email handling rules

  1. Flexible licencing to allow processing from several email accounts in a single profile
  2. Multiple filters (collections of rules), e.g. to handle incoming invoices and separately, referral forms
  3. Support for POP3, IMAP, Exchange, Office 365, Gmail
  4. Support for shared mailboxes/folders (o365/Exchange)
  5. Copy/move emails to other mail folders or delete once processed
  6. Auto-response emails, e.g. failures, "Sorry, your email has been rejected", etc

Attachment handling

  1. Document conversion, e.g. MS Word to PDF
  2. Encrypt/decrypt PDF, content protection removal
  3. Merge/split PDF's
  4. 'Lightweight OCR' to create searchable PDF's
  5. Unzipping, processing zip contents
  6. Automatic printing
  7. Download from URL/link within the email body
  8. Upload to SharePoint

Data extraction/manipulation

  1. Save/convert the email body
  2. Data extraction and transformation from the email subject/body or attachments
  3. Export data to Excel/CSV/ODBC database
  4. Lookup and use data from external data sources

Audit/logging

  1. Detailed activity logging, including details of post-processing actions
  2. Throughput/daily activity logging and graphs
  3. Option to ignore previously processed emails

Advanced automation

  1. Choose to 'run now' with an interactive interface or automated (scheduled) processing
  2. Run scripts or external programs per email or per attachment
  3. SDK/API availability for bespoke customisation


Real-time email processing

We offer a cloud-based solution which can act on emails as they arrive be replacing the traditional email box approach with a live API. This is particularly suitable for high volume and low latency applications where it can be advantageous, for instance, to reject an email at the point of receipt if it does not comply with requirements.


Our real-time email processing can handle many thousands of emails per hour with direct integration to other applications.
